WakaERP runs your whole business from one place: the till, your stock, your customers, your books, and your staff. This page is the order to set things up in. Doing it in this order matters — products need categories, purchase orders need suppliers, and the till needs products.
Set up in this order
- 1Business details — Settings > General. Name, address, phone, currency and timezone. These print on every receipt and invoice, so get them right before you sell anything.
- 2Locations — Settings > Locations. Even a single shop needs one location; stock is counted per location, so this cannot be skipped.
- 3Tax — Settings > Tax & VAT. Decide whether your prices already include tax before you enter product prices, because changing it later reprices your whole catalogue.
- 4Categories — group your products first. It takes minutes now and saves re-tagging hundreds of products later.
- 5Products — add them, or import from a spreadsheet. Include cost price: without it every profit figure in the app reads as pure profit.
- 6Suppliers — needed before you can raise a purchase order.
- 7Opening stock — receive a purchase order, or use Stock Adjustments to enter what is already on your shelves.
- 8Staff — Settings > Users. Invite people, set their role, then tune their pages and actions individually.
Cost price is the one field people skip and regret. Every profit number in WakaERP — dashboard, sales, and all reports — is selling price minus cost price. Leave cost at zero and the app will tell you every sale is 100% profit.
Currency cannot be changed later
Once sales are recorded, the currency is locked. Changing it would silently reinterpret every historical figure, so the field is disabled rather than allowed to corrupt your history. Set it correctly at the start.
